Media Library / Overview
Overview
The media library is a single, automatically populated index of every file that has ever passed through Crystal Desk — nobody has to manually file anything into it.
Auto-ingestion
Any file uploaded anywhere in the platform is ingested into the media library the moment it's submitted — through a stage completion form's Audio/Video/Image/File fields, a comment attachment, or a direct upload. There's no separate "upload to the library" step; using a file anywhere in a workflow is what puts it in the library.
Supported file types
- Audio — MP3, WAV, AAC, with a built-in player wherever the file appears.
- Video — MP4, MOV, similarly playable inline.
- Images — standard formats, zoomable in the viewer.
- PDFs — rendered inline without leaving the app.
- Documents — general file types stored and downloadable, without an inline preview.
Source context
Every file in the library retains a link back to exactly where it came from — the specific ticket, the specific stage instance, and (if relevant) the specific comment it was attached to. This means finding a file in the library isn't a dead end; from any file, you can navigate directly back to the ticket it belongs to and see the full context it was submitted in.
Storage location itself is configurable — see Storage Providers for the difference between the default AWS S3 storage and Enterprise bring-your-own-storage options.
For how to actually find a specific file later, Search & Tags covers the searchable fields and filtering options.
