A 30-second radio spot looks simple by the time it airs. Getting there involves six distinct stages, each with its own handoffs, approvals, and ways to quietly go off the rails. Here's what actually happens at each one — and where teams typically lose time.
Brief
The client (or an internal sales team) hands off the campaign details: language, market, duration, key message, tone. This sounds straightforward, but it's the stage where the most expensive mistakes happen, because they don't surface until much later. A missing detail here — the wrong market, an unclear duration — doesn't cause a problem at the Brief stage. It causes a problem three stages later, when a finished script gets rejected for not matching a requirement nobody wrote down clearly.
Where it breaks down: informal briefs passed verbally or via a one-line message, with no structured fields to force the necessary details out into the open.
Script
A writer, matched by language and market familiarity, drafts the spot copy. This stage usually involves at least one internal review before anything goes near the client — tone, length, and whether the copy actually fits the requested duration when read aloud (a script that reads fine on paper can run 40 seconds instead of 30).
Where it breaks down: script versions living in a chat thread, so nobody can tell which draft is the one currently under client review.
Review
The client (and often an internal brand or legal reviewer) signs off on the script, or sends it back with changes. Radio scripts frequently go through two, three, or more rounds here, especially for multi-language campaigns where each language variant needs separate approval.
Where it breaks down: rejection reasons get communicated verbally and then forgotten, so the same feedback has to be re-explained on the next round.
Voice Over
Once the script is locked, it goes to a voice artist — a human artist matched by language and tone, or increasingly, an AI voice for faster turnarounds on standard reads. The audio file that comes back needs to match the approved script exactly; any last-minute copy change after this point means a re-record.
Where it breaks down: voice files get shared over email or WhatsApp with generic filenames, disconnected from which script version they were recorded against.
QC
Quality control checks the audio for duration accuracy, clipping, background noise, and overall broadcast readiness before it's cleared. This is a mechanical check, but it's an important gate — a spot that runs 32 seconds instead of a contracted 30 can be a real problem for a media buy.
Where it breaks down: QC gets skipped or rushed under deadline pressure because there's no visibility into how close the ticket is to its air-date SLA.
Air
The final, approved audio file is delivered to the station or ad network for broadcast. At this point the ticket should be closed out with a clean record of what was approved, by whom, and when — useful for the client relationship and for reference the next time a similar spot is commissioned.
